The Office Administrator is responsible for managing the day-to-day administrative operations of the fertility centre. This role ensures smooth coordination between patients, doctors, and staff while maintaining confidentiality, efficiency, and a compassionate patient experience.
Key Responsibilities:
Front Office & Patient Coordination
Greet and assist patients with a warm, empathetic approach
Schedule, confirm, and manage patient appointments
Handle patient inquiries (in-person, phone, email)
Maintain patient records and ensure accuracy
Administrative Duties
Manage daily office operations and workflow
Maintain files, documents, and clinic records (physical & digital)
Prepare reports, correspondence, and documentation
Coordinate meetings and staff schedules
Billing & Financial Tasks
Handle billing, invoicing, and payment collection
Coordinate with accounts team for financial records
Assist patients with billing queries and insurance documentation
Coordination with Medical Staff
Support doctors, nurses, and lab staff with scheduling and documentation
Ensure availability of required patient files during consultations
Assist in coordinating procedures and treatment timelines
Inventory & Office Management
Monitor and maintain office supplies and clinic inventory
Coordinate with vendors and service providers
Ensure cleanliness and organization of reception and office areas
Compliance & Confidentiality
Maintain strict confidentiality of patient information
Ensure compliance with healthcare regulations and clinic policies
Required Skills & Qualifications:
Bachelor’s degree in administration, management, or related field
Proven experience in administrative or healthcare roles preferred
Strong communication and interpersonal skills
Proficiency in MS Office and clinic management software
Ability to multitask and handle sensitive situations with empathy
